Lead the development, execution and support of a wide array of high visibility events, ranging from client events, partnership retreats, practice group retreats and internal events. Collaborate with NY partnership, Business Development, Legal Recruiting, and Diversity and Inclusion to ensure that all events and programs support individual department and overall Firm initiatives.
Primary Responsibilities and/or Essential functions:
Working closely with attorneys and administrators, lead the planning and execution of client events including golf outings, ski trips, closing dinners, and receptions, assist with planning and coordination for alumni events as well as provide support for Partner retreats, annual Partner meeting, practice group retreats and numerous other internal events as needed including the NY Holiday Party and Halloween Event
Supervise all aspects of event coordination for assigned events including invitation mailing, coordinating RSVP lists, name badges, and materials distribution
Work closely with Contracts Procurement regarding event venue and vendor contracts
Organize post-event details, including vendor payment and attendee follow-up
Plan ad-hoc day meetings, cocktail receptions, client dinners, golf sponsorships and theater/concert events
Coordinate with business development, specifically the NY Creative Team for invitation design and the CRM team and InterAction software, to ensure client and guest lists are accurate and up to date
Work closely with Legal Recruiting to plan and execute Weil’s Summer Associate Program as well as Professional Development for First Year welcome events
Coordinate with Diversity and Inclusion team to plan and execute a variety of events for Weil’s Affinity Groups.
Identify, evaluate, and make recommendations for future programs, memorable events and speakers
Keep abreast of marketplace to bring an innovative approach to events
Identify and implement efficiencies to streamline administrative tasks (online registration forms, databases, etc.)
Develop and maintain relationships with internal departments that are needed to assist with event specific tasks (i.e., Facilities, Conference Center, etc.)
Manage vendor relationships
Provide support for business development events on an as-needed basis
Any additional responsibilities as required by management
Knowledge, Skills & Abilities:
Minimum 5 years event planning experience at a corporate or professional services firm.
Must possess positive attitude, demeanor, executive presence and the ability to work well with partners, associates and staff.
Independent worker who also works well in a team
Excellent interpersonal skills paired with exceptional communication and written skills.
Self-motivated person with excellent time management skills and project management experience
Proficient in Microsoft Office Suite and databases.
Exhibits thoughtful and sound judgment in problem solving and relationship management.
Experience with Interaction and Vuture CRM system
Education/Certifications:
Bachelors degree or equivalent education and experience required
